"Inside ITS" Newsletter - Vol. 24

Welcome to this edition of Inside ITS! This newsletter keeps users informed about technology services available at Weill Cornell Medicine.

SMARTFest provides tech & library info to over 1,000 attendees

ITS had more than 1,000 visitors during our 4th Annual SMARTFest on Thursday, February 16. Throughout the day, attendees were able to visit various booths in the Samuel J. Wood Library to learn about the different technologies and services offered on campus, ask questions, and see some on-the-spot demonstrations.

This year, we had more vendor participation than ever before, with experts on hand to work with faculty, staff, and students on finding study, research, and work solutions. Our Platinum-level sponsors provided helpful demonstrations of their services in the Collaboration Room, offering insight on how their products can be used for medical education and research (visit the library’s Facebook page to watch the demo videos!).

Attendees were also able to enjoy great food, giveaways, and a raffle, which featured prizes like medical references, Fitbits, Kindle Fires, and iPad minis, and a Dell computer, all donated on behalf of our event sponsors. Dr. Curtis Cole, ITS’ Chief Information Officer, also offered some highlights about technologies in store for the WCM community (see full video for a summary of the department’s accomplishments and upcoming projects).

The inaugural SMARTFest was held as a celebration of a successful first year of the SMARTDesk in the Library Commons. Since then, SMARTFest has evolved into a larger outreach to assist the WCM community with solutions to day-to-day tasks and major initiatives.

Free cloud storage available with Box

Sharing attachments via email can be cumbersome, especially when a number of colleagues are working together to collaborate on specific documents. Enter Box, our newest cloud storage service. Box is a simple and secure cloud collaboration solution that allows you to access your content anytime, anywhere, from almost any device.

How does Box work?

With Box, you can take advantage of unlimited storage space, manage your files from multiple devices, and control who can view and edit them. You can also share unique links to your files and folders and use Box's drag-and-drop interface to upload files.

How do I access my Box account?

Just go to box.weill.cornell.edu and enter your CWID and password. Then, you can start uploading and organizing your files! Please note that high-risk data should not be uploaded into Box (read Section I of our Data Classification policy to understand what constitutes high-risk data).

How do I use Box?

There are tons of great features included in your Box account! To get started, we recommend clicking on the short video below that highlights the top five tasks you'll most likely perform in Box:

Is Box free to use?

Box is available free of charge to:

  • Exempt, non-exempt, and temporary employees at WCM
  • Full-time, employed faculty at WCM
  • Postdoctoral associates (excludes postdoctoral fellows)
  • Students, including certificate, masters, MD, and PhD programs (excludes Tri-Institutional PhD students)
  • Temporary employees from agency working at WCM

Faster email provisioning for new employees

Do you remember your first day at Weill Cornell? You probably got a lot of information, a tasty lunch, and a long to-do list of onboarding tasks. The ITS Identity team has just made Day One at WCM one step simpler for new employees and students. In early January 2017, ITS officially enabled birthright email provisioning for the majority of WCM faculty, staff, and students.  This means that an Office 365 email and calendar account will be automatically created when your CWID is generated. Your CWID lets you access the various resources on the WCM network that you’ll need when you’re here. Newcomers will be able to access and set up their Office 365 email and calendar accounts as soon as they hit campus. Birthright email provisioning applies to:

  • Exempt, non-exempt and temp employees at WCM
  • Full-time employed faculty at WCM
  • Students enrolled in certificate, masters, MD, PhD programs (does not include Tri-Institutional PhD students)
  • Temp employees from agency at WCM

This is an even bigger win for Department Administrators, who will no longer need to submit an Account Services Request form to ask for email accounts for new employees.

Simpler smartphone tagging

In an effort to get devices on campus connected to our network and secured, ITS has refined its smartphone tagging policies to better serve employees of WCM. If you are a WCM employee, you can get your mobile device tagged by ITS and receive full device support, as well as access to our secure Wi-Fi network. We’ll also configure your phone so that you can access several custom WCM applications, such as the WCM Emergency App that pushes real-time updates in case of a campus emergency, MobileIron protection, and quick access to the WCM Apps store, where you can download apps complementary of the college - like Skype for Business or Lynda.com. 

Smartphone tagging for employees - Full list of benefits:

  • ITS Support at no additional cost (Previously a $150 setup fee + $285 annual fee)
  • Access to secure Wi-Fi network
  • Secure email/calendar access to your WCM account
  • WCM Emergency App: get real-time updates in case of a WCM emergency
  • WCM Apps: download apps you need at WCM, like Skype for Business, Lynda.com and more (previously known as Apps@Work)
  • MobileIron: if your phone is ever lost or stolen, MobileIron lets ITS wipe it remotely

To get your phone tagged, visit myHelpdesk and click Submit a Request, then click Employee Smartphone Service Request Form. Fill out the form, and click Submit. You’ll get a confirmation message with a link that takes you to a booking page to schedule the time and date of your SMARTDesk appointment. If you are off-campus, you can request a visit from one of our technicians.
