Clinicians at WCM document care in multiple electronic health record (EHR) systems provided by WCM and NYP, and investigators can obtain data from the systems through different processes. For data recorded in Epic as part of Weill Cornell Physician Organization outpatient encounters, investigators can request reports via Physician Organization Information Services (POIS). For data recorded in Allscripts Sunrise Clinical Manager (SCM) (also known as Eclipsys) as part of NYPH/Weill Cornell Medical Center inpatient encounters, investigators can request reports via DISCOVERY/TRAC. Data from information systems and resources serving specific clinical areas—such as anesthesiology, oncology, pathology, pulmonary, radiology, and others—are also available for request. Through DISCOVERY/TRAC, WCM investigators can additionally request data from NYP/Columbia University Medical Center with an approved collaborator. Depending on institutional review board (IRB) approval, investigators can obtain identified, limited, or de-identified data sets. For more information about subject recruitment for clinical trials, please contact the JCTO.
Processes for requesting outpatient and inpatient data involve working with a data analyst to define specific elements of interest. Fulfillment of data requests typically requires multiple iterations between an investigator and data analyst to define report requirements, and investigators can request data one time or on a recurring basis. Typically investigators receive report results in a file readable by analytical software such as Microsoft Excel and SAS. Costs vary for obtaining EHR reports from WCM and NYP.
