Zoom AI Companion is a generative AI tool that can help you summarize meetings and ask questions to catch up on details or action items you may have missed when it is turned on in your meetings. With the AI Companion you can: 

• Initiate an AI-generated summary of meetings. When the host enables this feature in a meeting, the host may automatically receive a summary after the meeting ends. Meeting Summaries are supported in more than 30 languages. 
• Allow meeting participants to quickly catch up and get clarity during a meeting without interrupting it. Meeting participants can ask AI Companion questions about the content of the meeting based on the meeting transcript. Preset questions are provided, such as Catch me up, Was my name mentioned?, and What are the action items?, which can be useful for catching up when you join late or return after stepping away from the meeting. More specific custom questions are also possible, like Was a date agreed on? and Was there a decision on the name? (Note: Due to various privacy and security concerns, not all features are enabled.) 

Security & Privacy 

Weill Cornell Medicine has a Business Associates Agreement with Zoom and meets HIPAA compliance.

• Share AI Meeting Summary or Recordings only after it has been reviewed and edited for accuracy.
• Your Summary may contain confidential or restricted information. You are responsible for editing the content and sending it to appropriate parties.
• Must not use Zoom AI Companion in clinical, telemedicine, or healthcare settings (e.g., during any patient encounters); peer review meetings; or IRB meetings.

Meeting Summaries & Questions

Meeting Summary

• AI Summary will be emailed only to the host after the meeting.  If the host wants to share the summary, they can forward the email after reviewing the contents.
• AI Summary can also be retrieved from the https://weillcornell.zoom.us website.  Summaries will be deleted after five days.  The copy you received via email will be your archive.
• Meeting summarization begins when the host clicks Start Summary. This allows topics to be omitted from the AI Summary.  There is no way to recover the summary of topics discussed prior to starting AI Summary.

Meeting Questions

• Questions can only be answered if the content was discussed while AI Companion is active in the current meeting.
• Attendees joining late will not get responses of issues discussed prior to their joining. This is set for privacy purposes.

Meeting summary and Ask meeting questions are separate AI Companion features and need to be started individually. Auto-start has been disabled for privacy purposes. Only the host or co-host can start AI Companion. 

How to use Zoom AI Companion

Start Meeting Summary as the host

1. Start a meeting from the Zoom desktop client.

2. On the in-meeting controls, click AI Companion , then Start summary.

   The meeting summary will begin to be generated, and participants will see a notification informing them that Meeting Summary is active.

3. Click AI Companion , then Stop summary to end generating the summary of the current meeting.

Once the meeting has ended, the meeting summary will be finalized and sent out to the host shortly for viewing.

Request Meeting Summary as a participant

1. Join a meeting with the Zoom desktop client.
2. In the meeting control toolbar, click AI Companion . 
3. If not currently enabled for the meeting, the participant will be prompted to request feature enablement.
4. Click Send Request.
   The request will be sent to the host (if an admin) or any admins in the current meeting. If no admins are present, an email request is sent instead.

Start AI Companion as the host (Ask meeting questions)

When the meeting starts, the host will need to manually start AI Companion so that it is available to in-meeting participants.

1. Start a meeting from the Zoom desktop client.
2. In the meeting control toolbar, click AI Companion , then Ask meeting questions.
3. Under Who can ask questions to AI Companion?, select which group of meeting participants can interact with AI Companion: 
   • All participants: Allows all participants to ask questions about all discussions since AI Companion is active. 
   • All participants only from when they join: Allows all participants to ask questions about the discussion since they joined the current meeting. 
     
   • Only hosts: Allow only the original host, alternative host, and users with host privileges assigned before the meeting starts to ask questions about all discussions since AI Companion is active. 
4.  To stop AI Companion, click AI Companion . Then Ask meeting questions. Then Turn off.

Request AI Companion as a participant (Ask meeting questions)

If the host does not have AI companion enabled for the current meeting, the host and any participants can request this be enabled for use. 

1. Join a meeting with the Zoom desktop client.
2. In the meeting control toolbar, click AI Companion . Then Ask meeting questions.
   If not currently enabled for the meeting, the participant will be prompted to request feature enablement.
3. Click Send Request. The request will be sent to the host (if an admin) or any admins in the current meeting. If no admins are present, an email request is sent instead.
