Welcome to this edition of Inside ITS! Inside ITS keeps users informed about technology services available at Weill Cornell.

Weill Research Gateway (WRG) coming soon

After extensive planning by ITS, Research Administration, faculty, and staff, Weill Cornell Medicine will soon launch the new Weill Research Gateway (WRG). WRG will host a number of applications to support research in one convenient online portal. Eventually, several key applications, like eIRB and Electronic Routing Form (ERF) will transition over to WRG’s more updated system.

The Conflicts Management System (CMS) will be the first program transitioned over to WRG. The CMS allows employees to input any external financial interests, activities, or commitments that are not related to your primary commitments to Weill Cornell (e.g., stock in a pharmaceutical company). The Conflicts Management Office reviews these surveys to determine whether an employee has conflicts that may compromise his/her ability to carry out primary obligations to Weill Cornell Medicine.

After a review of institutional policy, all employees are required to submit financial conflicts every year. View our short informational video to learn more about WRG.

Library hosts 25th annual art show featuring artists from WCMC, NYP, and more

“Take two minutes to look at this painting, and call me in the morning.” While you might not get a prescription like this anytime soon, art can definitely make you feel better. The Samuel J. Wood Library will once again celebrate the artists in our medical community in the upcoming 25th Medical Complex Art Show and Tenth Virtual Medical Complex Art Show. Faculty, staff, students, and alumni were invited to submit up to three works of original art in any medium, including paintings, photographs, sculptures, ceramics, handicrafts, and more. Submissions from WCMC-Qatar, NewYork-Presbyterian, Memorial Sloan-Kettering, Rockefeller University, and Hospital for Special Surgery were also encouraged.

Both shows will open on Wednesday, November 18 and run through Sunday, January 31, 2016. Stop by the library or peruse the virtual show for a healthy dose of art and inspiration. All employees and students of the hospital and college are invited to attend a reception in the Library Commons with Dean Glimcher as she announces the winners of the art show on Thursday, January 7 from 4 p.m. to 6 p.m. Light refreshments will be served. Password policy at WCM

When it comes to online security, you can never be too careful. One of the easiest ways to safeguard your online data is to craft secure passwords, and change them frequently. At Weill Cornell Medicine this isn’t just best practice, it’s now the rule. Did you know all WCM staff, faculty, and students are required to change their passwords at set intervals, in keeping with the official Password Policy? The frequency at which you must change your password depends on which type of user you are: Standard, Privileged, or PCI. See below for guidelines:

  • Standard user: If you are a WCM faculty, staff (including temps and consultants), and/or student, you must change your password every six (6) months.
  • Privileged user: If you have system administrator rights (most often users in the ITS Department), you must change your password every ninety (90) days.
  • Payment Card Industry (PCI) users: If you process credit card payments on behalf of WCM’s financial systems (e.g. Epic), you must adhere to the Payment Card Industry Data Security Standard (PCI DSS) for password expiration, and you must change your password every ninety (90) days.

You can’t keep using the name of your first goldfish forever. Here are a few techniques for creating a really good password that complies with WCM password policies:

Everything you need to know about the new Weill Cornell Medicine brand

Earlier this month, Dean Glimcher announced our new institutional name and identity – Weill Cornell Medicine. This change emphasizes that not only are we an exceptional educational institution, but we also provide world-class patient care and groundbreaking research.

With this comes a large rebranding effort that involves new logos, typefaces, and other details. Here’s what you need to know:

Visit the new Brand Information website

ITS has worked with the Office of External Affairs to create a branding page you can access at any time to download guidelines, logos, and important templates. Visit brand.weill.cornell.edu to access:

  • Official guidelines on how to use the logos, information on our standard colors, how to update your email signature, and more
  • Frequently Asked Questions
  • Logo packages for print and digital use (read the guidelines to ensure you are using the appropriate logo)
  • Document templates
  • Social media icons

The Weill Cornell Medicine Brand website offers useful information and guidelines on how to use logos, typography, and colors.

Updating your business cards and stationery

It’s likely that you still have a stack of business cards or letterhead with the old logo. The good news is that you don’t have to throw these away. This rebranding effort will take time to implement across campus, so please continue to use your inventory. Once you run out of your old business cards or stationery, contact Duplicating Services at duplicating@med.cornell.edu or (212) 746-0935 to place an order with the new logo.

Check to see if you have our new font

In addition to a new logo, we also have a new custom font – 1898 Sans – that may only be used in relation to official institutional business. All ITS-managed computers should have had the font automatically installed; to confirm this, just open Microsoft Word and look for 1898 Sans in your list of available fonts.

If you don’t have the font installed, you can download it at the brand website.

New PowerPoint and Word Templates

PowerPoint templates are available, with more coming in the near future. They will all be posted to the brand website under "Document Templates" and ITS will push these out to some managed desktops.

Email Signature

Our guidelines explain how to set up your email signature. ITS will send out an advisory soon with the details of how to do this. However, if you already know how to update your signature, please use the instructions included on page 39 of the Brand Guidelines.

New features in Office 365 Webmail

Have you signed into O365 Webmail lately? You’re in for a treat!

Microsoft just rolled out an improved look and feel for its web version of Outlook in O365, with various new features to make your web-based email and calendar experience even better.

Some new features include:

  • A cleaner look for greater efficiency
  • New tools to help you sort through and prioritize your inbox
  • New image formatting tools
  • Better ways to manage your calendar
  • An improved mobile browser experience
  • AND... a full suite of emojis. Express yourself!
