New: Online Archive for more email space

ITS is pleased to announce the launch of Microsoft Office 365 Online Archiving – a new mailbox management tool. The Online Archive (sometimes referred to as In-Place Archive or Archive Mailbox) lets you take advantage of an additional 99GB of mailbox storage in a new folder that is connected to your existing O365 email account. 

ITS will launch this feature to all WCM users beginning on Feb. 2 and it will begin appearing in users' Outlook accounts over the next few weeks. This service update will not delete your emails. The deployment will be completed on March 3rd.

Why we’re launching Online Archive

All WCM emails accounts have storage limits, and those who have been with the institution for a long time may be reaching – or have already hit – our mailbox limit. The Online Archive mailbox is the preferred method for managing email data that’s several years old, but that you still need to refer to.

With our new policies, any mail or calendar items older than four years will be automatically moved to corresponding folders in your Online Archive, freeing up valuable space in your primary inbox. You can also manually move items.

Do I need to do anything to enable the Online Archive Mailbox feature?

No. The Online Archive feature will be enabled for everyone by ITS.

I already have an "Archive" folder in my inbox. Is the Online Archive folder different?

Yes – the folder “Archive” in Outlook is one of the default folders like Sent Items and Deleted Items. It can be used for basic organization of emails, but does not provide extra storage space. The Online Archive provides additional mailbox storage and includes older items being moved automatically to clear up space.

How do I use Online Archiving?

Can I access the Online Archive folders from my mobile device?

 No, access from mobile devices is currently not available. Outlook for Windows, Outlook for Mac, and the Outlook for the Web App are the recommended applications.

Can I access the Online Archive folders from my Mac Mail app?

No, access from the Mac Mail app is currently not available. Outlook for Windows, Outlook for Mac, and the Outlook for the Web App are the recommended applications.

How are items moved to my archive folders?

Items will be moved automatically, according to a 4-year policy. In other words, any items older than 4 years will be moved to corresponding folders in the Online Archive folder. Your existing folder structure will be automatically re-created in the archive folders. You can also move files manually, but keep in mind that the folder structure from your primary Inbox will be re-created in the Online Archive automatically.

What if I don’t see the Online Archive folders in my Outlook folder list?

Please confirm that you are using Outlook for Windows, Outlook for Mac, or the Outlook for the Web App. If you still don’t see your Online Archive, Personal Archive or In-Place Archive folders, please contact the Service Desk for further assistance.
